QS-Beleg
Data capture from structured forms.System requirements
Windows 7/8/10/11
Windows Server 2008/2012/2016/2019/2022
System to read and collect data from forms and documents
Typical applications include time management, market research, requirements and purchase order processing, quality assurance..
QS-Beleg is especially designed for tasks where forms are completed and then collected, e. g. recording working hours, market research, recording requests, orders etc. QS-Beleg can be used in many lines of business. Our system reads not only marked fields and barcodes, but also machine printed and hand printed characters. The scanner and program are very easy to use. QS-Beleg gives you the possibility of combining and positioning any kind of field on just one form.
QS-Beleg Editor
The graphical editor is used to design different masks for individual forms. Modifications for old or new forms can be done easily.
Drawing masks is similar to operating a drawing program. You can read and test initial forms right on the screen which allows you to make modifications and further tests easily.
Recognition
The software component “Recognition” is used for reading large quantities of forms. The user scans the forms and starts the recognition.
The recognition is done automatically by using the mask previously created in the graphical editor. In daily routine the recognition is easy to handle and very efficient and flexible to configure.
Recognition for specific applications can be integrated easily. In addition, multi page forms can be read and recognized. The scanned images are saved as tif files.
OnScreen Correction
After the recognition the results are imported into the correction application. The results are shown on a form similar to the original form including the saved image. They can be corrected easily. After the verification the results are exported according to the application.
The verification application shows the recognized information and indicates possible errors. In addition to the fields containing the information, the program displays a part of the scanned form, so viewing the paper original is not necessary. This allows easy control, correction or addition of information.
Integration into archive systems
An archive index can be created to archive images and data afterwards. QS-Beleg can be used together with archive systems where scanning is done initially.
QS-Beleg is used as recognition server, the results are sent to an existing or new application. The images are saved by the archive system and indexed using the data provided by QS-Beleg. This means that high costs for manual typing of index data are not necessary.
Conventional forms containing mark fields can be read and recognized as well. If these forms contain fields in drop out color, the empty form is added in binary copy before archiving in order to make fields and marks visible on the image in the archive.
Solutions
Specific tasks require individual solutions. Due to client specific processing of the recognized data, the results can be greatly improved. We cannot guarantee 100% perfect results, however. When using QS-Beleg, data for previously existing applications must often be captured. A sequence of solutions for specific applications already exists. Existing solutions can be used to process the results of the standard recognition.
The handling depends on the specific application. For example it is possible to use dictionaries where names of streets or postal codes are saved to compare doubtful results with the saved data and correct them automatically. This also allows results to be checked and corrected on invoices and delivery slips using a specific logic. Using basic data such as article numbers is helpful to check recognized results. In addition, incorrect forms and fields can be marked and highlighted in the OnScreen correction. A quick and safe correction is guaranteed.
The aim is always to mark forms automatically as “correctly recognized” in order to maintain a low number of manually corrected forms. The use of form reading software is efficient for a large amount of data even if 100% error-free status is not guaranteed . Examples on using QS-Beleg can be found on Projects
Types of fields
QS-Beleg offers the possibility of designing forms with different fields in various sizes and combinations on the same form. The following types of fields can be used:
Optical Mark Recognition (OMR)
Barcodes 1D and 2 D (Data Matrix, QR Code, Aztec and PDF417)
Machine printed characters (OCR)
Hand printed characters (ICR)

Referrals, laboratory forms, medical forms
At medical laboratories, fast and accurate recording of analysis is very labor intensive. Recording analysis results is a task that is performed every day. Our product QS-Beleg Med is used since more than 15 years to read many different types of forms.Time reports, activity reports, requests for leave, …
In many sectors the capture of work hours is still most easily done on paper. The costs of recording this data can be reduced significantly by using QS-Beleg. At the city of Lübeck Public Services and at the Hamburger Hochbahn AG data is made available for further processing in SAP(HR, CO) following check and validation. For some of our other clients, absent time and other information is captured as well.Surveys, polls, questionnaires, …
As an ideal scan solution, QS-Beleg can read data everywhere on scanned forms. This feature allows a very flexible form layout which is often required especially for questionnaires. Possible fields of application are broad, from market research through customer surveys to quality control. Our client, the Muenchner Verkehrs- und Tarifverbund (MVV Public transportation and tariff), performs passenger surveys and has already processed answers from more than 1.2 million passengers.Orders, response cards, address capture, …
QS-Beleg can be used to quickly and efficiently record forms arriving via the post mail, e.g. mail orders (Orion Versand, Padburg) or response cards (e.g. magazine reply cards from Schoener Wohnen). Using document scanners the cards are digitized quickly. Data extraction is done automatically. Data can be stored using the QS-Beleg database or an archiving system.Cash journal, protocols, process documentation, sales reports
Process recording is necessary in many workplaces. The use of forms is often an efficient way of doing this. Instead of manually recording, the data can be quick and cost-effective recognized by QS-Beleg. The company Christoph Kroschke AG captures around 800 sales reports from over 200 branch offices each week.Registration forms
QS-Beleg can be easily adapted to the amount of work. In Westerland on Sylt are over 300,000 visitor registration forms captured and validated each year. In List on Sylt a smaller stage of expansion is being used for over 30.000 forms.Specific solutions in various sectors
QS-Beleg is a general program to capture data from forms. It is a comprehensive solution and can therefore be used in many areas. Together with our clients, we develop ready-to-use solutions for many sectors.
